Patient Awareness of 2nd Dose
Ensure patients understand the importance and timing of the second dose prior to and when they get the first dose. This is included in the educational materials and should be part of the scheduling and administering the first vaccine.
Schedule Second Immunization
As you plan this current clinic, you need to concurrently plan and schedule the second immunization clinic. Schedule the second immunization appointment as part of the booking of the first immunization.
Clinic Recall System
Given the public health importance of COVID-19 immunizations, we cannot rely only on scheduled appointments for follow up as these can be missed. Use a recall list as well.
EMR Recall Systems
Most EMRs should allow you to create a custom recall list based on specific parameters. This might be easier to use than a standalone system as it integrates with your other communication and workflow in your office. It is beyond the scope of this guide to create tutorials for each EMR, but the general approach would be:
- Determine where and how everyone in your clinic will record COVID immunization in your EMR, so that it can be later pulled out in a report.
- Develop a report or recall list that will show all patients who have:
- had one immunization at least <3> weeks ago (will vary for each vaccine)
- have only had one immunization
- Test to make sure this will work before you run your first clinic using test patients. You do not want to find out several weeks after your first clinics that your recall system is not working the way you thought it would.
- Save the report for future use.
Standalone Clinic Recall System
If your EMR is not able to create a recall system, you could consider creating a standalone recall system. However, we suspect that this will not be needed as provinces are making recall systems.
